Personal information refers to any information relating to an identified or identifiable individual (respondent), an identifiable individual is one that can be directly or indirectly identified, in particular by providing an identifier such as: e.g. name, telephone, identification number, location information, web identifiers such as email address, login information for web pages and passwords.
The registration form collects the following data: name, surname, and e-mail. The authors of the registration form are the organizers of the LIFE ClimatePath2050 International Conference: Jožef Stefan Institute, Jamova 39, 1000 Ljubljana, Slovenia, contact: ClimatePath2050@ijs.si.
In the context of GDPR compliance, the conference organizer is the controller of the collected data. This means that the controller decides how your registration form data will be processed and for what purpose.
An individual submits his / her personal information voluntarily on the basis of his / her consent and may wish to withdraw this consent at any time.
The conference organizer will only use the information obtained for the organization of the LIFE ClimatePath2050 International Conference and for reporting on the conference implementation to the project financers. The conference organizer will store the data obtained on the Google Forms tool server and local computers at the Energy Efficiency Centre of the Jožef Stefan Institute. The data will be stored for as long as is necessary to accomplish the purpose of the conference organization and reporting to the project financers or until the individual’s eventual cancellation or deletion. All the personal information will be deleted one month after the expiry of the obligation on retaining copies of all supporting documents from the general conditions from the grant agreement (LIFE 16 GIC/SI/000043).
Data from the registration form is processed by contractors (web registration form tool provider and cloud service provider).
The data may be shared with the conference organizer’s subcontractor Zavod Radio Študent providing technical support to the conference. Due to obligation on reporting to the financers of the project LIFE ClimatePath2050 (LIFE 16 GIC/SI/000043), the data will be shared with the European Commission’s implementing agency CINEA and the Ministry of the environment and spatial planning of Slovenia.
Data from the registration form are not provided to third parties.
The data may be shared with other users who have a proper legal basis for it.
Personal data are not transmitted to third countries.
The conference organizer has an authorized personal data protection officer who can be reached at dpo@ijs.si.
The conference organizer will protect the information obtained from unauthorized access, modification, use, collection, storage, processing, disclosure or destruction. Only the conference organizer, the maintainer of the Google forms service and its subcontractor and the LIFE ClimatePath2050 project financers have access to the data.
In relation to the processing of personal data, an individual has the right of access to data, the right to correction, the right to erasure (the “right to be forgotten”), the right to limit the processing, the right to transfer of data, the right to object to the collection of personal data. In addition, the respondent is also entitled to file a complaint regarding the processing of personal data with the supervisory authority or to the Information Commissioner.
Written or electronic request for the assertion of the aforementioned rights may be forwarded by the individual to the conference organiser at the e-mail address of the ClimatePath2050@ijs.si. In case of problems, you can contact ClimatePath2050@ijs.si.
If the conference organizer fails to comply with the request, the respondent may contact the data protection supervisory authority in the country of the conference organizer (list of supervisory authorities by country).
